SmartPlan - Minimize Disruption criteria

By selecting Minimize disruption rule for SmartPlans, we ensure that while allotting the new records to the sales representative there is minimal disruption in the existing records of that particular person. 

  • Basically, this rule will work based on Users(Role+Type) and selected field criteria. Once we find the records based on the people(Assignments) assigned to the territories where field, it will not shuffle existing records even if we performed rerun rules on existing territories.
  • If we changed the users(Assignments) or Hire new people(New Assignments) in territories, it will shuffle the records based on the new user(Role + Type) and Field. So when the existing Assignments are not disturbed, the records will be stable without any shuffle even after doing rerun rules.
  1. In the Prioritized Balancing criteria section select Minimum Disruption in the Add Criteria
  2. A new Minimum Disruption section shows up where the user now has to choose the role and type for which the assignments have to be created without much disruption. The user also has to mention the field which has the current assignment defined. The user can mention either Owner ID or owner name.
  3. Next, select Create criteria which opens up a new window called Filter Builder to select your criteria. 
  4. We can either give a single condition or a group of conditions with an 'AND' or 'OR' operator.
  5. Once the criteria are set, select Ok.
  6.  There are two options available for the accounts that do not match the criteria chosen
    1. Put them in the Unassigned node. (This is the default selection) 
    2. Distribute equally among all the territories and selecting this option will distribute the records equally without considering the criteria that are given.
  7. Select the options for Named Accounts, whether you want to include them in the SmartPlan balancing, or exclude them.
  8. Select the required option from Treatment of Account Families
  9. Decide whether to include or exclude the child accounts in the SmartPlan balancing and select the appropriate option. 
  10. Select Save. 

Minimize Disruption - Illustration

In the above illustration, all 12,000 (approx.) records in the Texas node were owned by one particular owner ID. The Sales Manager wanted to categorize Texas into three territories based on owner ID. Since all the records in this territory were owned by a single owner all the records were moved to territory_1 where the assignment was created for the person. The rest of the territories remained empty as all the records belonged to the same owner.  

Create assignments in SmartPlan

Assignments can now be created in the SmartPlan feature itself. This is an optional section and the user can fill in the details only if he needs to create an assignment. 

The number of persons selected should be equal to or less than the number of territories created.

  1. Open up the Assignment section to create an assignment for a particular person in the newly created territories. 
  2. Select those persons from the list for whom the assignment needs to be created. 
  3. Select the Type - whether the person is existing already in the Team or going to cover for a temporary period.
  4. Select the role of the user. The productivity profile, start date and end date gets auto-filled after selection of the role.
  5. Select Save. 

In the above illustration, three people are selected for the three territories. after saving we can see assignments created for the selected people in each territory,
